Do you need to backup your email?
Email. Some people love it, some people loathe it, and pretty much all of us use it at some point during our working day. From communicating with customers and suppliers to receiving newsletters (like this one!), email isn’t going anywhere.
If you use your email to retain important details such as confirmed orders, accounting information or HR updates, then consider backing your email up.
For some context, as we take you through some ideas, what we talk about relates to an Office 365 email system.
Office 365 has built-in features such as retaining emails in the Deleted Items, and Junk Folders and there is the basic undelete tool that can be useful as well.
But what if you need something more robust?
If your email contains information that’s vital to your business, here’s a question for you, what would you do if your emails were deleted or removed in some way, from several months or years ago? Would this cause you a headache? Can you restore the affected email folders or individual emails?
There is a solution, where your entire email mailbox can be backed up, every day. This backup is outside of the Office 365 environment, meaning that if anything does happen, you can make use of the backup to restore either individual emails or entire folders. The backup retains up to seven years’ worth of backups (for compliance purposes, accountants we’re looking at you for example), which gives you and your business peace of mind.
The backup helps protect you from malicious activity, computer viruses and from that time you’re just not thinking straight and accidentally delete something, but only realise several months later.
The backup solution is kept within the UK region, ticking another compliance box (as some backups might send your data outside the EU or over to the US for example), this might be useful for any future compliance or insurance renewals.
It’s easy to set up, and with no configuration needed on your computers, it’s all done without any disruption to your business. You can just sit back, drink tea and be safe in the knowledge you have email backups in place going forward.
