Office Administrator | Part Time


What we’re after and why:

You will be based at Lucid Towers in Redditch (B97 5AA), working as an Office Administrator. This role will cover receiving and making plenty of phone calls to our customers, reviewing the workload in the business and delegating it out accordingly, assisting with invoicing related tasks and assisting with providing technical information to our customers.


This role is a brand new part-time position in the business, you will be reporting directly to the business owner.


A bit little about us:

Lucid Computer Solutions, was formed in 2008. We are based in Redditch, Worcestershire. We’re a small business, with a team of five people. We’re IT geeks, but we talk to our customers in plain English, you’ll find no jargon, no sales talk, and no braces or Windsor knot ties here.

What we do:

We provide IT Services, IT Solutions and provide ongoing IT Support to businesses around the West Midlands area.


These traits and skills will be essential for this role:

  • Excellent telephone manner, which you’ve had previous experience of
  • Excellent written English
  • Excellent computer literacy as you will spend lots of time using our helpdesk ticketing system and accounts system
  • Ability to work as part of a small team (which is 5 or 6 people at any given time)
  • Ability to work unsupervised
  • Excellent punctuality and have a proven attendance record
  • Quick learner, enthusiasm for technology and hard working
  • A proven track record working as an office administrator or PA based role

Overall daily duties and expectations (but certainly not exclusively):

  • Receiving inbound phone calls to the business, logging the call/routing it accordingly
  • Logging phone calls into our helpdesk ticketing system
  • Reviewing our help desk ticketing system (which is used to manage technical work) to help prioritise work and delegate it out accordingly
  • Reviewing outstanding work in our helpdesk ticketing system, liaise with the technical team to see what can be done to get it brought to a close
  • Use our helpdesk system and accounts system to raise invoices for completed work
  • Provide customers with information such as usernames and password as requested (long term, training will be given in how to reset them as well)
  • Liaising with customers relating to ongoing work and site visits, acting as the buffer between the customer and the technical team

Just to warn you now…

  • We work in a highly demanding and fast paced environment, both from our customers and our own high expectations, this isn’t for the faint hearted!
  • We work to agreed timed service levels, which we must adhere to.
  • The work you carry out is logged and tracked, so we can assess what work you’re completing and time spent doing this.
  • We’re a small team in a small office, we all have to play our part, there is nowhere to hide.
  • This role will be stressful sometimes, you will need grit and determination to get you through.
  • The phone rings...a lot...typically around fifty times a day - if you’re not comfortable with handling lots of calls and customers every day, this role isn’t for you.
